European Passport Return Service

If you are applying for Permanent Residence or Qualified Person status we can send a certified copy of your current passport along with your application and supporting documents to UK Visas & Immigration.

If you are a European Economic Area (EEA) applicant or a family applying for Permanent Residence or Qualified Person status, you can use our service and retain your passport while your application is being considered. Please note, we can only certify a valid passport, Identity Cards are not accepted.

This service is offered Monday to Friday between 9:15am and 2:15pm using an appointment system. You are encouraged to book an appointment in advance of your submission date to avoid disappointment; this can only be done in person at the Register Office in the Town Hall. Available appointments will be offered to you on a first come first served basis. 

Unfortunately, you will not be able to be seen until the next free appointment. It is the applicant’s responsibility to submit their application within the time limit set by the Home Office, and applicants are able to attend the European Passport Return Service at any council that offers it. We will take a deposit of £15.00 per person at the time of booking. 

This fee is non-refundable and this fee will be used when you attend the service. If you are more than five minutes late, or you do not attend your appointment, you will not receive a refund of this fee.

You need to complete the appropriate online application form on the GOV.UK website (see links below) before you attend our offices.

How to apply

1. Complete the relevant online form on GOV.UK:

Apply for a document certifying permanent residence as an EEA or Swiss national

Apply for a registration certificate as an EEA or Swiss national

2. Within 5 working days of submitting your application, attend an appointment at our office bringing with you:

  • A printed copy of your online submitted application
  • Completed checklist
  • Current passport
  • All original supporting documents (the documents you need are listed in the guidance notes for each application form) 

Completed additional checklist for each applicant detailing documents you are sending.

If you do not bring all the documents and completed forms listed above, our officers will not be able to send your application and you will not be able to apply.

All applicants over 15 years and six months old must attend the office in person.

3. We will copy your current passport, certify the copy and send all other original documents to the Home Office on your behalf. If your application exceeds 100g in weight, we will need to make an additional postage charge:

Up to 500g – £8.00 plus the £15.00 EPRS fee
Up to 1kg – £9.50 plus the £15.00 EPRS fee
Up to 2kg – £12.00 plus the £15.00 EPRS fee
Up to 10kg - £29.50 plus the £15.00 EPRS fee
Up to 20kg - £45.00 plus the £15.00 EPRS fee

Please be aware that the Home Office may contact you for further information after your application has been submitted.

Finally, this service does not provide any advice or checks to ensure that your form is completed correctly, nor does it guarantee the success of your application.
